Peopl Systems Privacy Statement

Peopl Systems Inc. (“Peopl,” “we,” “us”) is committed to protecting your privacy and safeguarding your personal information. The purpose of this privacy statement is to inform you about our privacy practices, as well as inform you about the personal information we collect, such as through our website, https://www.peopl.ca (the “website”), how we use it, and when we disclose your personal information.

This privacy statement relates to all of our activities, unless we have provided you with a separate privacy statement for a particular product, service or activity.

Please review this privacy statement carefully. By submitting your personal information to us, by registering for an event, forum, using any of the services we offer, or by using our website, you consent to us collecting, using and disclosing your personal information as set out in this privacy statement, as revised from time to time.  This privacy statement is effective from April 10, 2026.

Meaning of Personal Information

For the purposes of this policy, “personal information” refers to any data that can reasonably identify an individual. This may include details such as your name, home address, personal email address, telephone number, or other similar identifiers.

Exclusions

Information that is used solely for professional communication is not considered personal information. This includes business contact details such as your name, job title, work address, work telephone number, work fax number, or work email address when used strictly in connection with your business, or professional services.

Personal Information We Collect

We collect information directly from you from our website.  Our platform also includes a human resources management system that allows organizations to upload information about their employees (“employees”). This may include, but is not limited to, names, addresses, contact details, payroll data, benefits information, and time‑off records. Each customer determines the specific categories of employee personal information they choose to store in the system. We do not access, use, or process employee information for any purpose other than delivering the contracted services or as otherwise agreed to by our customers.  If you use our software platform, you will receive a separate service agreement and privacy policy that governs that use.

Personal Information You Provide & How We Use Your Personal Information

Before or at the time we collect personal information, we identify and communicate the purposes for which it is being collected. We collect personal information only for purposes that are reasonable in the circumstances and that a reasonable person would consider appropriate. The specific purposes for which we collect personal information are described in this privacy statement and, where relevant, will be communicated to you directly at the point of collection (i.e., through a form, registration page, or other point of contact). We do not use personal information collected for one purpose for a materially different purpose without first obtaining your consent, unless otherwise permitted by applicable law.

Depending on how you engage with us, we may collect and use personal information in the following situations:

  • Requesting a demo: When you ask for a product demo, we may collect details such as your name, job title, email address, mobile number, and information about your organization. This information is used to contact you and arrange the demo.

  • Signing up for events, product updates, or downloading materials: If you register for an event, request product information, or download resources from our website, we may collect your name, mailing address, email address, phone number, and any other information you choose to provide so we can send you the requested materials.

  • Purchasing Peopl services: When you subscribe to or purchase our services, we may collect paymentrelated information, including your name, address, phone number, email address, billing details, and payment card information. We use this information to process and complete your transaction.

  • Contacting us with questions or feedback: When you communicate with us through email, phone calls, live chat, or other online channels, we may collect the information you include in those interactions. If you provide a mobile number, we may use it to send SMS messages related to your use of the platform or workforce advisory services, including scheduling notices, information requests, status updates, or reminders, and we may also collect related metadata to support the messaging service. When you contact us with a comment, question, or concern, we may request identifying information such as your name, address, and phone number, along with any additional details needed to respond, and we may retain this information to assist you in the future and to improve our services and website.

  • Email, Promotional & Market Research Communications: For individuals who receive our email communications, we may collect information about the emails we send. We may use third party services for e-mail marketing that use pixel tags and other methods to gather information about the emails they send on our behalf. Pixel tags are tiny graphic files that are included in HTML-encoded email messages. When such a message is opened in an HTML-capable email program, the recipient’s computer will access our service provider’s servers to retrieve the pixel tag file, allowing information to be collected such as email address, date and time the recipient viewed the email message (if the recipient’s email program is capable of receiving HTML) and other logging information. Our service providers use this information to optimize delivery of future messages and to provide information to us with respect to emails sent on our behalf.

Information Collected Automatically
  • Visiting our Website or branded social channels that link to this Policy: We collect the IP (Internet protocol) addresses of all visitors to our Website and other related information such as page requests, browser type, operating system, language preferences, links you select, diagnostic logs and average time spent on our Website. We use this information to help us understand our Website activity, and to monitor and improve our Website.  In some cases, we may estimate your general location based on your IP address. We do not collect precise GPS data unless you have clearly enabled it in your mobile setting.

  • Cookies: Our website uses a technology called “cookies” or we may enlist third party services which use cookies to track preferences and activities on our website. Cookies are small data files transferred to a user’s computer’s hard-drive by a website so that we can recognize the user when they return. They keep a record of preferences, making subsequent visits to the site more efficient. The use of cookies is a common practice adopted by most major sites to better serve their users.   • Legal: We may use and disclose your information when we believe such use or disclosure is permitted, necessary or appropriate: (a) under applicable law, including laws outside your country of residence; (b) to comply with legal process; (c) to respond to requests from public and government authorities, including public and government authorities outside your country of residence; (d) to enforce the terms of the agreements for our products and services; (e) to protect our operations or those of any of our affiliates or subsidiaries; (f) to protect our rights, privacy, safety or property, and/or those of our affiliates, you or others; and (g) to allow us to pursue available remedies or limit the damages that we may sustain. In addition, we may transfer your personal information and other information to a third party in the event of any reorganization, merger, sale, joint venture, assignment, transfer or other disposition of all or any portion of our business, brands, affiliates, subsidiaries or other assets.

Third Party Links

Our website may contain links to other websites of interest that we do not own or operate.  Also, links to our Website may be featured on third party websites on which we advertise.  We may provide links to third party websites as a convenience to the user. These links are not intended as an endorsement of or referral to the linked website.  These websites have separate and independent privacy policies, notices and terms of use.  We do not have any control over such websites. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement.

Opting Out of Communications

If you no longer want to receive emails from us, you may opt out of receiving educational or marketing-related emails by clicking on the “unsubscribe” links at the bottom of any educational and marketing-related email you receive from us. You may also unsubscribe at any time by contacting us directly using the contact information in the “Contact Us” section on our website.

If you receive SMS messages from us, you can opt out at any time by replying STOP.

If you decide to withdraw your consent from these communications, this means you will no longer receive educational, marketing or update communications from us.

We will endeavour to respond to your opt-out request promptly, but we ask that you please allow us a reasonable time to process your request. Please note that if you opt out from receiving educational and marketing-related emails, we may still need to send you communications about your use of our products or services, to fulfill our contractual or legal obligations to you.

Withdrawing Your Consent

You may withdraw your consent to our collection, use or disclosure of your personal information at any time, subject to legal or contractual restrictions, by contacting our Privacy Officer using the contact information below. Please provide reasonable notice of your withdrawal request.

Retention of Personal Information

If we receive a request regarding personal information collected on behalf of one of our clients, we will refer the individual to that client and support them in responding to the request where appropriate.

This privacy statement and any disputes arising from your use of our website or services are governed by the laws of British Columbia, Canada. By using our website, you agree that any legal matters will be handled exclusively in the courts of British Columbia.

If any provision of this privacy statement is found to be unenforceable or invalid for any reason, that provision will be limited or removed to the minimum extent necessary, but shall not affect the validity or enforceability of the remaining provisions.

Age Requirement

Our website and services are intended for individuals who are 18 years of age or older. By accessing or using our website, you confirm that you meet this requirement. We do not knowingly collect personal information from anyone under the age of 18. If we become aware that we have inadvertently collected personal information from an individual under 18, we will take prompt steps to delete that information from our records.
